Personal Data Protection Notice

How DCI Careers collects, uses, discloses, protects and retains personal data.

This notice applies to candidates, job applicants, clients, prospective clients, website visitors and other individuals who provide personal data to DCI Careers.

1. About this notice

DCI Careers (“DCI”, “we”, “us” or “our”) respects your privacy and is committed to managing personal data in accordance with Singapore’s Personal Data Protection Act 2012 (“PDPA”). This notice explains the purposes for which we may collect, use and disclose your personal data.

2. Personal data we may collect

Depending on your interaction with DCI, we may collect:

  • Your name, email address and other contact information that you choose to provide.
  • Your résumé or curriculum vitae, employment history, education, qualifications, skills and professional experience.
  • Job preferences, expected remuneration, availability, citizenship or work-authorisation information where relevant to an application.
  • Information supplied by referees, former employers, clients, recruitment portals or publicly available professional sources.
  • Employer or client enquiry details, company information and requirements for staffing or technology services.
  • Technical information reasonably required for website security, fraud prevention and troubleshooting, such as IP address, browser information and form-submission records.
  • Any other personal data that you voluntarily provide to us.

Please do not submit national identification numbers, financial information, medical information or other sensitive data unless DCI specifically requests it for a lawful and necessary purpose.

3. Purposes for collection, use and disclosure

We may collect, use or disclose personal data for reasonable purposes including:

  • Responding to enquiries and communicating with you.
  • Assessing your suitability for current or future employment, contract or project opportunities.
  • Matching candidates with job requirements and presenting suitable profiles to prospective or existing clients, where appropriate.
  • Arranging interviews, assessments, reference checks and other recruitment activities.
  • Managing onboarding, deployment, payroll, benefits, insurance, work-pass or contractual processes where applicable.
  • Providing recruitment, manpower outsourcing, payroll and technology-related services to clients.
  • Maintaining business, recruitment, security and compliance records.
  • Preventing abuse, spam, fraud, unauthorised access and security threats.
  • Complying with applicable laws, regulatory requirements, court orders and lawful requests from public authorities.
  • Any other purpose that we notify you of and for which consent is obtained where required.

4. Disclosure of personal data

Where reasonably necessary for the purposes above, DCI may disclose relevant personal data to:

  • Prospective or existing clients considering candidates for assignments or employment.
  • Service providers supporting hosting, email, cybersecurity, document storage, payroll, insurance, professional advice or business operations.
  • Recruitment portals and assessment, verification or reference-check providers.
  • Government agencies, regulators, law-enforcement bodies or other parties where required or permitted by law.
  • Other parties with your consent or at your direction.

DCI will seek to disclose only the personal data reasonably necessary for the relevant purpose.

5. Consent and withdrawal

By voluntarily submitting personal data to DCI, you consent to its collection, use and disclosure for the purposes notified in this notice, unless an exception under the PDPA applies.

You may withdraw your consent by contacting us. We will explain the likely consequences of withdrawal and will cease the relevant collection, use or disclosure within a reasonable period, subject to legal, contractual or other permitted grounds for continued retention or processing. Withdrawal may affect our ability to consider an application or provide a requested service.

6. Accuracy, access and correction

Please provide accurate and complete information and inform us when it changes. Subject to the PDPA and applicable exceptions, you may request access to personal data under our possession or control, information about how it has been used or disclosed, or correction of an error or omission.

We may need to verify your identity before processing a request. A reasonable fee may apply to an access request where permitted by law, and we will inform you of the fee before proceeding.

7. Protection and website security

DCI will make reasonable security arrangements to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, loss, disposal or similar risks. No internet transmission or storage system can, however, be guaranteed to be completely secure.

8. Retention

We retain personal data only for as long as it is reasonably needed for the purposes for which it was collected, for legitimate business requirements or to meet legal and regulatory obligations. When personal data is no longer required, we will cease retention or remove the means by which it can be associated with particular individuals, where reasonably practicable.

9. Transfers outside Singapore

Some service providers or systems may process or store personal data outside Singapore. Where personal data is transferred overseas, DCI will take appropriate steps to ensure that the recipient provides a standard of protection comparable to that required under the PDPA, unless an applicable exception applies.

10. Third-party websites

The DCI website may link to external services such as MyCareersFuture and JobStreet. Those websites are operated independently and have their own privacy notices and data-handling practices. You should review their notices before providing personal data through them.

11. Updates to this notice

DCI may update this notice to reflect changes in legal requirements, business practices or services. The updated notice will be published on this website with a revised effective date.
